Anything where a person moves information between tools that already have it: lead capture and follow-up, CRM updates, quoting, weekly reporting, document generation, support replies and call logging. The test is whether the process is frequent, describable twice the same way, and costly when it slips. If it fails that test, I say so on the call.
n8n by default, because it self-hosts, handles branching logic and code, and does not charge per task. Zapier is the better answer for a handful of light, linear automations, and I will tell you when that is the case. The AI steps run on Claude or the OpenAI API either way.
The workflow catches its own failure and emails a person instead of failing quietly. It retries a few times first, stops and asks a human when access is refused, and writes are built so a re-run does not create a duplicate record.
No, but you own it either way. I build in your n8n account, or I self-host the community edition on a server you own: HTTPS with automatic certificates, PostgreSQL instead of SQLite, services that come back after a reboot, and backups written into the runbook.
